ITEM TITLE: Community Picnic
RECOMMENDATION:
BUSINESS ITEMS
Participate in the Community Picnic by assisting with necessary tasks.
BACKGROUND:
Each year, the Community Services Commission hosts the annual Community
Picnic and Birthday Bash. This year, the event will be held on Saturday, April 26,
2003 at Fritz Burns Park.
Attachment A provides a list of tasks that are necessary to ensure a successful
event.
ALTERNATIVES:
The alternatives available to the Commission include:
1. Participate in the Community Picnic by assisting with necessary tasks; or
2. Do not participate in the Community Picnic by assisting with necessary
tasks; or

SUBJECT: ANNUAL COMMUNITY PICNIC on APRIL 26
The planning process for the Saturday. April 26, 2003 Annual Community Picnic and
Birthday Celebration is well on its way. I would like to inform our "hosts" of what you
can do at the event to assist staff and participants that will be setting up a display booth.
The following list should provide some insight as to what assistance will be needed.
Please call me at 777-7085 if you have any questions. Our team of staff and
Commissioners will meet at Fritz Burns Park at 8:30 AM to assign and complete the
outlined tasks. (hank you for your continued support.
TASKS
Direct display participants to designated area
Hand out programs
Greet & welcome participants
Answer participant & guest questions
Hand out entertainment schedule to event performers
Assist with band stage set up & take down
Hand out City of I.a Quinta give-away
Help unload participant supplies from vehicles
Assist participants in booth and display set up
Serve water & hot dogs to display participants
Set up, cut and serve cake at the11:30 Cake Cutting Ceremony
Serve cake to display participants
Assist staff with trash pick up & event take down

ITEM TITLE: Annual Work Plan
RECOMMENDATION:
Identify projects to be included in the Community Services Commission 2003/04 Work
Plan.
BACKGROUND AND OVERVIEW:
Each year, the Commission is required to submit an annual work plan for City Council
approval. This work plan outlines the tasks that the Commission would like to
complete in the coming year. Attachment A is the Community Services Commission's
2002/03 Work Plan for consideration.
ALTERNATIVES:
The alternatives available to the Commission are:
1. Identify projects to be included in the Community Services Commission
2003/04 Work Plan; or
2. Do not identify projects to be included in the Community Services
Commission 2003/04 Work Plan; or
3. Provide staff with alternate direction.
