In this proposal you will find the requested support pricing, along with additional information that demonstrates ECS Imaging as the best certified Value Added Reseller to successfully support and help expand usage of your Laserfiche system. ECS Imaging has supported the City of La Quinta since the system was originally deployed in June 2000. In 2017 ECS Imaging, Inc. upgraded the City of La Quinta to Laserfiche Avante which included Laserfiche Forms Professional, Forms Portal, and Workflow. The upgrade was deployed with extreme success with the assistance of a close working group of La Quinta staff as well as the ECS Imaging Project Management team and our technicians. The momentum of the Laserfiche Project is in full stride right now as we have been assisting in the building and development of Workflows and Forms throughout the City. Through a continued strategic partnership with City of La Quinta and ECS Imaging, we know that our current projects and future projects will be of success. ECS understands that City of La Quinta is extremely familiar with the Laserfiche application, and is truly looking for a partnership that will aid them in growing the usage of the system, while enhancing the City’s records management project as we have been working together on for some time now. Based on our experience in the industry, longevity as a Laserfiche VAR, and our highly qualified support and technical staff, you will find ECS Imaging to be the partner for your current and future document management needs. Our 15 Support Technicians are dedicated to answering our customer’s questions and resolving any issues efficiently and effectively. ECS will provide the knowledge we have gained through the support of over 400 Laserfiche systems in the United States. This conference is offered at no charge to our customers and is conveniently located at the Riverside Convention Center September 13th. Laserfiche training is provided at all levels with 20 classes to choose from and opportunities to network with other Laserfiche users and integrated solution partners. CITY OF LA QUINTA 5 LASERFICHE AVANTE SUPPORT SERVICES Bid Requirements Annual Staff Support, Engineering Support, Remote & On-Site Training, & Laserfiche User Conference: 1) Dedicated agency service engineer as primary contact A dedicated support engineer will serve as the primary contact for Laserfiche support through a direct telephone line. ECS Imaging will always provide a primary contact for your needs. If you need immediate assistance, and your primary contact is not available, you can contact our Help Desk via telephone or email. 2) Remote & On-Site Priority Support Unlimited remote and on-site support, which can also be used for upgrade installation, problem solving, and consulting. With our ECS Priority Support Contract you will receive unlimited telephone support for your Laserfiche needs. Onsite remedial support, training and consulting can be utilized through the ECS Priority Support 20 hours package included. Additional time can be purchased at anytime at the same discounted rate included in our quote. 3) Professional Service Hours Provide 50 hours of professional service support annually – these will be in addition to the unlimited “Remote & On-Site Priority Support” annual services and will be specifically dedicated to enhance the City’s records management project by designing complicated workflows, Weblink interactive maps, Weblink customizations, simple integration with other software, etc. ECS has provided 50 hours in our quote for professional services to go towards customizing the following use cases. However in order to determine if 50 hours is enough we will need more information about each of the following tasks. The same rate will be offered should more hours be needed for professional project hours. a) Three (3) custom workflows a. ECS Imaging would need additional information in order to develop a scope of work to determine exactly how many hours this project would take. b) Building Permits Workflow (resolve issues with existing “Building Permits” workflow to ensure it recognizes all existing street names) a. ECS Imaging would need additional information in order to develop a scope of work to determine exactly how many hours this project would take. c) Assessment Districts Interactive Map (please see a sample of the map here: http://archive.la- quinta.org/plancheck/districtzoom1.aspx) a. ECS Imaging would need additional information in order to develop a scope of work to determine exactly how many hours this project would take. e) Agreements and Insurance Reports (design workflow to allow staff to run reports on upcoming expiring agreements and insurance certificates) a. ECS Imaging would need additional information in order to develop a scope of work to determine exactly how many hours this project would take. f) Maintain Weblink custom home page a. The City of La Quinta can utilize their Priority Support contract for the maintenance of their Weblink page. g) Weblink search results – customize into a “table-view” a. ECS Imaging would need additional information in order to develop a scope of work to determine exactly how many hours this project would take. 4) Training Unlimited remote training during the course of the year, including simple workflow design; this shall also include a minimum of four (4) days on-site training if requested. The City of La Quinta can utilize their Priority Support contract for onsite/remote training in regards to the Workflow designer or existing workflows. Specific workflow designing would require additional information in order to provide a scope of work to determine exactly how many hours the new workflow project would take. 5) Remote Access Support - Unlimited A dedicated support engineer shall remotely connect to the Laserfiche server or PC to troubleshoot any issues, error messages, etc.; including start troubleshooting process issues in advance of any on-site work needed. The City of La Quinta can utilize their Priority Support contract hours for unlimited phone support in regards to trouble shooting. In the case ECS would need to remote into a PC or server, hours would be deducted from the Priority Support contract. 6) Preventative Maintenance Guaranteed A minimum of two (2) on-site visits per year to ensure optimum system functionality. These semi-annual “on-site check-up,” shall include installation of software upgrades, new releases, and new equipment; provide staff training on new features, fix operator errors, and make recommendations on system upgrades. Onsite checkup will be performed twice each year by the Account Manager to ensure optimum performance. Upgrades, new releases, training, operator errors, and recommendations will be utilizing the Priority Support Contract. CITY OF LA QUINTA 7 LASERFICHE AVANTE SUPPORT SERVICES 7) Integration Services with Other City Software Systems Provide preferred pricing on professional services such as integration with existing systems, workflow management consulting, and custom application development. ECS Imaging would need additional information in order to develop a scope of work to determine exactly how many hours this project would take. Professional services hours will be quoted at the same discounted rate in this proposal. 8) Laserfiche User Conference Up to three (3) free enrollment attendees to the annual Laserfiche User Conference. ECS Imaging will provide 3 free enrollment tuitions to the annual Laserfiche Empower User Conference February 2019. 9) Travel Costs All travel costs should be included as part of the service package. ECS Imaging does not charge for any travel costs in our service package as we are located in Riverside, CA. The Laserfiche Software Assurance Basic Plan includes the following:  Unlimited telephone support through your authorized reseller.  Free copies of Software Version Updates, (updates are released an estimated 1-4 times per year).  All the latest hotfixes, updates and patches to keep your system running at peak efficiency.  24/7 access to the Laserfiche Support Site and Laserfiche Answers where users will find detailed technical information to help optimize the Laserfiche system.  Comprehensive training opportunities are available to all staff including quarterly Regional Training opportunities and the annual Laserfiche Institute Conference.  100% of the purchase price of your current Laserfiche software can be credited to any new product purchase. ECS Priority Support is an optional support plan to the basic Laserfiche Software Assurance Plan (LSAP). Where LSAP offers a response time within 24 hours, ECS Priority Support responds promptly to our client’s needs and concerns. Our experienced tech team will respond within 4 hours of our client’s call. Most calls are answered immediately and resolved within the same business day. Your current Priority Support Plan includes 20 hours annually. What You Get With ECS Priority Support Each customer maintains an experienced Account Manager dedicated to your current and future needs. CITY OF LA QUINTA 14 LASERFICHE AVANTE SUPPORT SERVICES Training In most cases, training is provided onsite by ECS trainers using the installed system. These training sessions can be scheduled for individuals or groups according to their role. Training sessions are developed and tailored specifically for our customers. The duration of training is typically between 1 – 2 days. Below is an overview of the courses we offer: On-Site End-User Training This hands-on or group training is for users who have never used Laserfiche before. Some of the topics covered in this training are:  Annotations  Customizing the Document Viewer  Document Metadata  Using the Folder Browser  Electronic Documents  Searching  Importing Documents  Exporting and Printing Documents  Snapshot One session will be comprised of scanning, batch scanning, advanced scanning, importing and indexing. It is recommended that only a few at a time be in this session, as this session includes hands-on training for each person. It’s important that each Scan operator actually scan in real documents and get familiar with the process. This hands-on or group training is for user who will be scanning documents into Laserfiche using Laserfiche Scanning. Topics discussed in the training are indexing, short-cut keys, batch processing techniques, and cleanup tools. The second session will be for retrieval and viewing only users. It is recommended that there are no more than 10 individuals per session. This will address the various retrieval methods, viewing options, printing, emailing and customizing tool bar options. This session includes detailed instruction on the various methods for searching within Laserfiche including Quick Search and the Customize Search option for more advanced search criteria. This session also covers search results and what information is returned, how to open and view documents, and how to utilize the information returned. On-Site Administrator Training System administrators should be encouraged to participate in as much of the implementation process as possible so they understand how the hardware and software components are configured and work together. System Administrator Training begins with a comprehensive overview of the Laserfiche System. This includes each component reviewed in detail. Integration and installation issues are also addressed. The CITY OF LA QUINTA 15 LASERFICHE AVANTE SUPPORT SERVICES role of the trainer is to provide the participants a thorough understanding of the Laserfiche system so that they can develop, integrate, and manage the system at their organization. As a Training Outline, they will be learning: Template Creation and modification, folder design concepts, Laserfiche security setup and administration, database backup, other miscellaneous tips and tricks for the Laserfiche System Administrator, volume management, other Laserfiche products/plug-ins, most common Laserfiche problems and how to resolve them. Some of these functions may be taught also to the Department Manager. On-Site Power-User Training The following courses can be provided and are based on the software modules currently owned. Laserfiche Workflow Admin Training - This hands-on training is for users who will be designing workflows within the Laserfiche System. This class is not exclusive to IT, but users should be technically savvy and familiar with IF/THEN logic. Some of the topics covered in this training are: Parallel and Conditional Routing, E-mail Notifications, Reminders / Deadlines, and Repeat/Looping related to business processes. Laserfiche Forms Training - This hands-on training focuses on the design and configuration of electronic fillable forms. Power-users will be provided instruction on the functions of Forms submitters, approvals, assigned tasks, reports, performance monitoring, and forms as part of workflow configurations. Laserfiche Quick Fields Training - This hands-on training is for users who will be creating Quick Fields Sessions. Typically, this training is for IT or Power Users of Laserfiche and includes automating Quick Fields Sessions, data capture, extraction and validation, image enhancement, and customizing the handling, processing, and information capture for specific document types. Class material is dependent on the Quick Fields modules purchased. Laserfiche Audit Trail Training - This hands-on or group training is for user who will be generating or viewing Audit Reports on the Laserfiche Repository. Laserfiche Audit Trail is typically used to investigate the viewing, retrieval, or export of a document from the Laserfiche Repository. This class is typically limited to Administrators and Power Users with comprehensive access to the Laserfiche Repository. Laserfiche Records Management Training - This is hands-on training covers basic records management concepts for records managers and for general staff. This session provides training on the lifecycle of Records from creation to final disposition and includes setting up retention schedules, managing record series and record folders, determining cutoff instructions and disposition, and compliance requirements. Integration Training SDK / LF Connector - Training for IT applies to integration with specified line of business applications. The Laserfiche Support Site offers a variety of resources to help you use your Laserfiche products more effectively including best practices and tips for using the products, troubleshooting information and hotfixes, technical papers on a variety of topics, product demonstration and how-to videos located on the Laserfiche YouTube site, and a Code Library and other resources for developers. The Support Site is updated regularly. Complimentary ECS User Training We believe in providing continued added value to our customers in an ongoing basis and assisting them in utilizing the solutions we provide to the maximum potential. That is why we offer complimentary training opportunities throughout the year to provide added value to your Laserfiche investment.
