DATE: April 28, 2015
TO: All Prospective Request for Proposals (RFP) Holders
RE: RFP for CIP Project Management and Administrative Support
Services
ADDENDUM NUMBER 2
The following shall be considered as incorporated into the Request for Proposals (RFP)
for the above referenced professional services. The portions of the RFP not specifically
mentioned in this Addendum remain in force.
The questions below were generated after Addendum 1 was issued. Below are the
questions, along with responses being provided by staff.
Question: Time Commitment: The question was asked regarding the time commitment
for the Consultant. For clarification, given the current and projected workload and
associated administrative responsibilities, is the Prime Consultant (Person) or
associated staff of the Consultant expected to be available for work performance on a
full-time basis?
Response: The current level of required activity is 1.5 Full Time Equivalent positions.
Question: Duration of Contracting: Given the clarified response to Item 1, above, what
is the current projection for the Contract term?
Response: The contract term is one year with a City option to renew for 2 additional one
year terms.
Question: Design Services - Re: Scope of Services Item 1.k. of the RFP: Please clarify
the scope of the "design" responsibility, given that all or most of the design disciplines
would typically be contracted by the Consultant to Sub -Consultants. In this regard, how
will the process be differentiated from the Consultant, via its services to solicit Proposals
from Design Consultants and provide recommendations to the City for its separate
Contracting?
Response: The successful firm will be responsible for all phases of design and project
management. Currently, some of the project design is done by consultants through an
RFP or RFQ process and some of the project design as accomplished by the CIP
Project Management firm.
Prospective consultants are hereby notified that Addendum No. 2 must be
acknowledged and is hereby incorporated as part of the original RFP document.
Failure to respond to this Addendum within the consultant's proposal may result
in the City designating said proposal as "Non -Responsive."
APPROVED -
