Dear Mr. Larson,
Sound lmage would like to formally submit our proposal in response to the RFP
issued by the City of Laquinta to upgrade the audio video system inside the city's
council chambers. We believe after a thorough analysis of the RFP and the currently
installed AV system that Sound lmage is the right candidate to work with in the design
and installation of your new council chamber system.
From our proposal it will become evident that selection of Sound lmage brings with it
25+ years of experience in delivering comprehensive AV systems that can stand the
testament of time. We have successfully installed and maintained many systems
including the city's current AV system that have been operational for more than 20
years. Since city's original installation Sound lmage has continued to make every effort
to maintain its quality of service by ensuring all of our staff has the highest levels of
industry recog nized trainings and certifications.

description, a finical breakdown of our proposal as well as any supporting

Corporate Profile
Southern California Sound Image, Inc. is a California Corporation with over 40 years of
professional experience.
Sound Image (SI) is segmented into two distinct divisions; Touring Sound and Systems
Integration. The primary focus of this document will be on SI’s Systems Integration Division,
which represents more than 20 years of professional audio, video, control, design, engineering,
installation and service experience. We employ highly skilled personnel to provide all necessary
sales, engineering, software programming, submittals, equipment procurement, shop
fabrication, installation, testing and training.
Contracting Business Model and Project Management Philosophy
Sound Image is an engineering-driven company that utilizes a sales engineering approach as
the human interface to our customer base. The vast majority of our work comes through repeat
business and referrals. Our specialty is working with customers within the context of a
design/build relationship. We also engage in a select number of bid projects when conditions
are appropriate.
Sound Image invests heavily in staff training, and regular updates to hardware and software
resources. This is done with the understanding that today’s electronic technology is advancing
at a very rapid pace. So too are the project demands of the sophisticated customer.
Very few AV integration firms have the staff, experience and financial strength to continuously
work with the most advance, professional AV technologies available. Sound Image does and
has been doing so for decades.
One of the most important roles our in-house sales engineers play is to represent the Customer
as well as Sound Image, and to provide a good faith effort to represent both parties fairly and
equitably. We have done this successfully on many occasions and are prepared to provide
verifiable references at any time a potential new customer requests.
Many more paragraphs could be written on the subject of business practices and
methodologies, but suffice it to say that our ultimate goal is to meet or exceed our customer’s

Audio Video System Proposal
Video System
The new council chambers video system upgrade will utilize the current projection screen and
mirror by installing a 6500lm HD projector. The signal path to the new projector will be upgraded to a
state of the art Crestron Digital Medial System, capable of sending 1080P resolutions over high end
networking infrastructure. As requested a 70” Sharp interactive display will be installed. The display
will be tied to the video switcher as a source and display; this interconnectivity will allow either a
presentation or voting results to be displayed. In addition any annotation can be routed the projection
screen for increased visibility. Sources that can be routed to either the interactive display or the
projection system include the following:
- Wireless presentations (mobile tablets or laptops)
- DVD Playback
- Document Camera
- Pan tilt zoom Cameras
- Dais Video Input
- Voting Results
The Dais monitors will be replaces with 20” HD monitors. Two of these displays will be 20”
Crestron touch panels. These touch panel will be utilized for controlling meeting operations and video
preview. Some examples of meeting operations include but are not limited to:
- Dais microphone control
- Video control
- Digital nameplate assignments
- Voting controls
Pan tilt zoom cameras will be installed and integrated into the video switching system allowing
camera preview and routing to 3rd party encoder for streaming meeting sessions. Small form factor
displays will be installed to supplant the plastic name plates. Content for these nameplates will be
assignable through custom programing in the control system.
Audio System
The new council chambers audio system upgrade will include the replacement of the entire
system with brand new wiring and equipment. Two new speakers will be installed in the audience area
to increase audio quality and speech intelligibility. New audio signal processors and amplifiers will be
installed to drive the audience speakers as well as dais monitors, assistive listing systems and
recording devices. Microphones will be replaced with updated models equipped with LED feedback
indicating microphone status. New high end wireless microphone systems will be installed. Signal
processing has been reviewed to ensure ample connectivity and easy scalability

Control System
The new council chambers control system upgrade will include the replacement of AMX with
Crestron control processors and touch panels. Voting and request to speak operations will be
conducted through 4.3” touch panels. Facilitation of meetings will utilize one of the 3 interactive touch
screens in the dais or the control room. All programing to allow a fully functional voting system and
meeting space is included in this proposal.
General Notes
Upon awarding of the contract Sound Image recommends a site meeting with all concerning
parties to ensure the described system meets and exceeds their expectations. It is during this meeting
any particular programing request may be made.
This proposal is a full turnkey solution that is based on the RFP provided, however this
proposal does not include any new electrical, structural, or mill working required to execute the design.
These services will be provided by the city.

Warranty and service
WARRANTY PERIOD
SI shall provide a one (1) year system Warranty and a five (5) year workmanship warrenty from
the date of acceptance of the completed work.
The definition of the system Warranty is; all materials and installation workmanship
specific to the infrastructure and programming that “bind” all of the various
manufacturer’s product to represent a complete working system.
All new equipment provided by SI includes each manufacturer’s full warranty from the date of
customer invoice or signature acceptance of work complete.
The majority of Manufacturers limit the warranty claims to depot service or “carry in”
service, during the term of the system warranty. SI will include the costs for local
service calls under this system Warranty.
SI warrants the system to be free of defects in materials and workmanship.
This warranty does not cover equipment or system abuse, nor misuse including but not
limited to:
Operating outside of environmental, electrical, temperature or humidity
specifications,
System alterations that are neither approved nor performed by SI.
Repair by a service facility other than those authorized by the manufacturer.
The Warranty does not cover consumable items such as lamps, CDRW and
DVDRW disks.
SERVICE
During normal business hours, SI shall reply by phone to a service request within 24 hours of the initial
request for service.
Service required outside of normal working hours shall be billed at the normal hourly rates for
overtime work. Typically a 1.5 multiple of standard rates.
If possible, all critical repair issues will be evaluated and resolved with within one business day.
Any non-critical repair issues will be evaluated and resolved with within five business days.
A cell phone number is made available to our clients in case of a serious weekend or nighttime
emergencies.
If possible, SI will supply (free of charge and pending availability) a replacement unit for the Owner’s
use, or request an advance replacement from the manufacturer, until the equipment is returned in
proper working condition.
Upon arrival for warranty service, SI expects access to the system and equipment.
To avoid additional charges, please contact us if delays in access are expected.
