Project Approach RefineM will plan to use Zoom videoconferencing to conduct meetings, including planning meetings and regular status meetings. RefineM will carry out each of the following tasks within City of La Quinta’s Scope of Services: 3.1. Initiation and Planning: Project formulation, project development including large/small project differentiation, and project submittals. Two weeks of planning meetings to develop scope, schedule, budget, risks, and stakeholder expectations for carrying out the work. City of La Quinta team members will perform all field work mentioned in the RFP. RefineM’s project managers will gather information from them and update the project documents. 7.2. City of La Quinta team members will use a system to log and track hours. RefineM’s project manager will need access to generate a report from that system. 7.3. No on-site travel will take place as part of this engagement. 7.4. The hourly rates mentioned in Section 4, Cost are all-inclusive of direct labor rate, indirect costs, and profit margin. 7.5. RefineM is assuming a project duration of 5.5 months with a start date of June 29, 2020 and an end date of December 18, 2020. RefineM is open to reduce or extend the project duration based on City of La Quinta needs. 7.6. If the project duration is reduced, RefineM will invoice for only the actual hours spent up to the reduced completion date. 7.7. If the project is extended, RefineM will be available based on the same hourly rate as detailed in Section 4, Cost. 7.8. RefineM will invoice every 30 days for work performed in the 30-day period based on the actual hours spent. 7.9. RefineM will perform work remotely and will facilitate meetings using Zoom videoconference unless otherwise mutually agreed upon. 7.10. City of La Quinta will provide any site access or software needed for RefineM to perform the work.
