Enclosed is a copy of our proposal to convert your existing municipal code, process your supplemental updates and host La Quinta’s Municipal Code on our American Legal Publishing website. We are very confident that you will find our list of standard features exceed those of the competition and yet maintain a cost effective solution. We take great pride in providing a solution that is functional for not only your staff, citizens, city businesses but also your City Council. I have reviewed your scope of services list along with the electronic publishing and internet services, and we will be able to meet all your requirements. In future years, new ordinances can be easily added to your code with American Legal's supplement services. You will be able to set the schedule for updates to meet the needs of La Quinta. We offer updating of your online codes after each meeting if you wish. By doing this, there is far less need to have a list of uncodified ordinances. We typically get the online codes updated within 2-10 business days. For your printed supplements, you will decide the schedule. Typically clients chose quarterly, bi-annually or annually. Whatever works best for La Quinta! And, when you need a model ordinance, simply call us; we don’t charge for providing model ordinances. Or if you prefer you can also search all codes we host online for FREE! All information and pricing provided in this proposal has been validated and is valid for at least ninety (90) days. All employees of American Legal Publishing are free from any conflict of interest. Your account will be serviced by the editing team out of our Cincinnati office, but I will be your local contact. We have provided supplemental services and hosting of the code online for the past 24 years. I included this site not because of their locality to La Quinta, but because of how well we work with our clients. They submitted a request to us that they were looking to reduce all contracts by 5% for the current fiscal year. We obliged with their request. We value our relationships with our clients and recognize the unusual circumstances this year has created. 3. Pricing: American Legal Publishing proposes to convert the municipal code, host the municipal code and produce supplemental updates for the City of La Quinta, CA at the following prices: 1) Convert existing La Quinta Municipal Code into our fully searchable online format (folio)* This is a onetime cost! $495. *Code to be provided in MS Word Format 2) Municipal Code hosted on the Internet (annual hosting fee) $400./year 3) Supplements of La Quinta Municipal Code – $21./page (Includes supplemental updates, edits and online code updates) 4) If the code page contains an image (diagram, photograph, graph, etc.) or table, there is an additional $10.00 per page charge. 5) Phone Support no charge 4. Complementary Services: Key standard features that set us apart from the completion:  Immediate updating of your online code.  A private account within our online code.  The ability to set bookmarks to Titles or Sections  The ability to add Annotation notes to Titles or Sections. These are private based on the user account you are logged in with.  The ability to search all codes we host online for FREE!  Saved searches.  No administrative fees EVER! Some codifiers do not disclose that down the road you will be hit with these fees. A full list of our features and options may be found as Attachment A in this proposal. 5. Staffing and Project Organization: Please note that staff that is listed under item 1d in this proposal will be main participants in the process below.  La Quinta and American Legal sign contract.  La Quinta provides American Legal with a printed copy of their current code. This will allow for American Legal Publishing to match the pagination of the current code. Process for future supplements submission to American Legal Publishing:  La Quinta submits ordinances to American Legal Publishing as ordinances are passed. The ordinances are submitted via email to Alison Cook, Client Support Specialist.  Alison logs all information and passes the ordinances submitted onto Amy Oak’s edit team. Amy’s team will make the appropriate edits to the code.  Once the edits are complete, Amy hands the update off to Sarah Bauer and her online update team. Sarah and her team will get the online code updated and notify the client that the updates have taken place. This process will repeat until the client is ready print their supplemental updates. Typically quarterly, bi-annually or annually. You will receive 5 printed copies of your updates along with the insertion guide. You do have the option to only submit ordinances on a scheduled basis, but we find that most of our clients enjoy the opportunity to submit and update as ordinances are passed. 6) Subcontracting Services – American Legal Publishing does not use any subcontractors. 7) Disclosures – American Legal Publishing has no negative history to disclose.
