RE: RFP for On-Call Map Checking Services
ADDENDUM NUMBER 1
The following shall be considered as incorporated into the Request for Proposal (RFP) for
the above referenced services. Portions of RFP not specifically mentioned in this
Addendum remain in force.
Question: On page 11 of 53 of the RFP, under III. Proposal Content, it lists 3. Proposed
Staffing and Project Organization. On the following page it lists 6. Staffing and Project
Organization. Please clarify whether this information should be under 3 or 6. If under 3,
will Subcontracting Services and following sections be renumbered from 6 to 12?
Response: The staffing and Project Organization should be listed under number 3, we
will remove from number 6. Please re-number the remaining sections from 6-12. The RFP
has been revised as such.
Question: Please confirm that Attachments 2, 3, and 4 are included in the 20-page limit.
Response: Attachments 2, 3, and 4 are NOT included in the 20-page limit.
Question: Under III Proposal Content, the City requests we “Provide a list of business
clients to which your firm is currently providing, or has recently provided, professional
consulting services similar to those required in this RFP. Include company names,
beginning/end dates of contracts, and names, titles and telephone numbers the City can
contact as references for your firm.” Is this meant to be an exhaustive list of all clients,
or can we highlight a few standouts and summarize/list our remaining clients? If full
details are required for all applicable clients, will this count towards the page limit?
Response: NOT need to be an exhaustive list of all clients. You may highlight a few
standouts and summarize/list your remaining clients.
Question: Does the City require the on-call consultant to work only on a fixed fee
amount per application or time and materials based on the consultants current fee
schedule?
Response: The City does require a “fixed fee” rate for tract maps, parcel maps, lot line
adjustments, and parcel mergers application. Other reviews or projects can be based on
the consultant’s per hour fee.
Question: The City requests a proposal “via email, hand delivery, OR mail” on the first
page, but then later requests we submit “one (1) hard copy AND one (1) electronic PDF
via email or USB drive”. Are we able to submit our proposal through an email submittal
alone?

Response: Email submittal of one electronic copy AND one hard copy (delivered via
mail or hand delivery) are required. The RFP has been revised to “via email, AND hand
delivery, OR mail”
Question: In “Section II. Proposal Format,” it states that “Resumes and brochures may
be added to the proposal, provided that they are located in an appendix at the back of
the proposal.” Does this Appendix section with resumes count toward the total page
count (20 pages) of the proposal?
Response: NO, Appendix section with resumes does NOT count toward the total page
count.
Question: The RFP states the proposal shall be limited to 20 pages. Is this 20 pages
single-sided, or double-sided?
Response: Single-sided.
Question: Within the 20-page maximum, do we have any “no count” pages? [Ex: Do the
Cover, Table of contents, Appendices (resumes), Required Forms
(attachments/acknowledgements/affidavits that we have been asked to sign), Cost
Proposal forms, and/or Disclosures page count toward our 20 pages, or are these in
addition to our 20-page proposal].
Response: NO, The Cover, Table of contents, Appendices (resumes), Required Forms
(attachments/acknowledgements/affidavits that we have been asked to sign), Cost
Proposal forms, and/or Disclosures page DO NOT count toward the 20-page total count,
they are in addition to the 20-page proposal.
Question: Regarding the Cost Proposal - We’d also like to confirm that the cost proposal
is to be within the proposal, and not submitted as a separate document?
Response: Correct, the cost proposal in to be included within the proposal, not
submitted as a separate document.
Question: In “Section III. Proposal Content” – Staffing and Project Organization is
requested as both part 3 of the proposal format AND part 6 of the proposal format, as
listed below. There is no written description for what content is supposed to be within
#6. Is this an accidental duplication?
Response: YES, this is an accidental duplication. Yes, please omit section 6 from the
requested format, The RFP has been revised to reflect this omission. Please number the
remaining sections accordingly.
The Consultant is hereby notified; Addendum No. 1 must be acknowledged as
stipulated under the instructions in the RFP, unless proposal has been
submitted prior to the Addendum posting date. Failure to do so shall result in
the City designating said bid as "Non-Responsive."
