Project Description: Client issued an RFP and received over 14 submissions. Another
vendor was awarded the contract. After the f rst 5 months, the awarded vendor failed to
deliver all the equipment and did not honor their agreements. SMUSD cancelled the
contract and chose Fruth Group for the award. Fruth Group was able to deliver, install,
network, and set up PaperCut software for all 52 copiers in 5 days, including two large
productions machines in the client's print shop.
Project Start/End Date: November 2022 was the initial start date of the project with the
other vendor. Fruth Group took over in June 2023 and this agreement is for f ve years.
Staff Assigned to Project: Fruth Group's installation team consisted of Brad Osborn, Vice
President; Walter Thomas, Branch Manager; Randy Hatch, Service Supervisor; Mario
Melgar, Service Technician; Paul Giesen, Solutions Specialist; Robert Johnson, ITTechnician;
and Reggie Gray, Delivery Driver.
Summary of Final Outcome: Client said it was the easiest and smoothest installation
process they had ever been part of. SMUSD has since completed a second wave ordering
another 47 machines that were also completed in only 6 days and is working with Fruth
Group on a third wave of installations. Fruth Group continues to install cost effective
printers or to help reduce older printers in the District and provide workgroup multi-
function devices that the staff can use PaperCut software to retrieve their print jobs on any
MFP anywhere in the District off ces. Once the project is completed, the District estimates
they will save over $100,000 in printing costs.

COMPLETE PRICE LIST
Throughout the RFP and in the Addendum 1, City of La Quinta made it clear that you are
looking for a vendor partner that can help make expert recommendations for your print fleet.
It was acknowledged several times, that the exact conf gurations and equipment will be
f nalized after selecting a vendor and conducting site walk throughs.
Based on your desired goals, Fruth Group strongly believes we have the best company to offer
you the most complete options backed by the highest level of service. Our pricing will be
utilizing the NASPO contract which provides City of La Quinta excellent terms and conditions
not included in the RFP. Additionally, Fruth Group is an Authorized Canon, HP, and Brother
dealer, so we are in a unique position that we can offer complete service on your existing fleet.
However, we believe the best option might be a hybrid solution that includes new equipment
and utilizing some existing equipment.
Our pricing will provide the City of La Quinta with several options:
1. Option 1: Maintenance Agreement on existing fleet
2. Option 2: 60 Month FMV Lease on New Equipment with Maintenance program
3. Option 3: 60 Month $1.00 Out Lease on New Equipment with Maintenance program
4. Option 4: After a walk through and meeting with City of La Quinta, a hybrid solution
will be provided that includes new equipment where needed and keeping some of the
existing equipment where possible.
As a result of utilizing the NASPO contract, here are some important terms and
conditions that will be included in our pricing and most likely not included in any of the
competitors' proposals.
NASPO Benef ts:
1. No lease agreement to sign. A City PO is all that is required.
2. No late charges ever on the equipment lease.
3. End of Lease Return Costs are included.
4. Net 30 terms are included.
S. No Property Taxes with our pricing. Everyone else will bill this annually.
Before reviewing the pricing provided, it's important to discuss your current equipment fleet.
In the chart below, we have listed all your equipment and provided you with the equipment
introduction date as well as the discontinuation date. This is important for you to have. All
manufacturers are only legally required to provide parts for seven (7) years from the
discontinuation date. As you will see, you have equipment that is outside the parts
availability window and has probably been affecting the service with your older equipment.
As we work together on the best program for your City, these end of parts availability dates
need to be considered.

The pricing listed below will be billed monthly or quarterly on actual usage. Fruth Group will
not require the City of La Quinta to provide a set monthly allowance. This allows you to only
be billed for actual usage produced and not a committed amount you might not reach. This
pricing will include everything except paper and staples. It's acknowledged that in your
Addendum 1, you stated you wanted staples included in the price. Fruth Group can't build
staples into the pricing on older existing equipment without any monthly volume history. If
this is important to the City, we are willing to create a program to include staples once we have
some volume history. This pricing is only valid for one 12 -month agreement.

The pricing listed below includes new equipment to replace your entire fleet. The
recommendations made are to minimize the number of unique models, number of different
print drivers, number of different toner types. This pricing lists the 60 -month option for both
FMV lease and the $1.00 out lease. As you stated in the Addendum 1, the conf gurations will
be subject to change based upon initial assessment conducted by selected vendor. Therefore,
our accessories have been listed separately so our pricing is provided up front. Many
competitors will not provide all the accessory pricing hoping to add prof t after being selected

MAINTNENACE DETAILS AND PRICING - Option Two & Three
MAINTENANCE
Fruth Group offers a complete all-inclusive maintenance program from the day of installation
until the end of the agreement. Our guaranteed response time is 4 hours or less and we
currently average 1.29 hours on over 9,150 machines on contract for 2022. Here are some more
details about our maintenance:

maintenance schedule to proactively address
technical issues before they become an
operational issue for the users. Our service
technicians will perform a Total Quality Call in
which they service the unit to a preventative
maintenance standard set by the
Manufacturer each time the unit is repaired.
This will include cleaning all the optics and
remove, inspect, and clean all assemblies of
the machine and its accessories. The Total
Quality Call ensures a consistent level of
service throughout your contract term.

BENCHMARKING

QUALITY ASSURANCE CHECKSmeasuFeMents
Fruth Group's service managers conduct
periodic follow-up inspections at customer
locations to evaluate a service technician's recent performance and to ensure the customer is
satisf ed with the service. On these visits, the service manager completes a quality assurance
form, which contains a detailed equipment and parts analysis section. The technician is
unaware of this follow-up inspection until he/she meets with the supervisor to review the
results.
UPTIME DEFINITION
Fruth Group def nes uptime as being..." time in which the equipment is available for customer
usage and not under any existing (non -completed) maintenance call".
All the data we use to compile the metrics (measurements) for analysis and reporting
purposes is generated by a fully Integrated Software System called e -automate. E -automate
is considered the "class of the f eld" within our industry and enables us to effectively collect,
manage, mine and report data in support of our business operations. The data is then
imported into a software system called BrightGauge and CEO Juice and used to calculate and
report measurables such as:
• First Call Effectiveness
• Machine Availability
• Average Onsite Response Time
• First Call Fix Avg Resolution Time
• Rescheduled Calls Avg
Machine Availability (Uptime Performance Criteria) is calculated by referencing the hours the
equipment should be available for usage during a given period vs. the hours the machine was
subject to a non -completed maintenance call. We can tailor reports to meet the criteria of our
clients. We utilize these reports when doing Performance Reviews with our customers.
Performance Reviews are typically scheduled in quarterly intervals and can be customized to
meet the needs of the City of La Quinta.
In addition to utilizing the data from these systems for review or historical reporting as
referenced above, we also use the system for managing our "real time" performance. In each
of our branch operations we employ large digital dashboards which display all maintenance
call information in real time. Much like our historical data, we can customize the dashboard
viewing, for example, total calls dispatched, open and/or closed, callbacks, current and/or
month to date, etc. The data also allows us to improve customers' uptime by proactively
identifying any in -f eld challenges and managing workloads by technician, geography, travel
time, etc. Fruth Group takes pride in supporting our customers to the fullest. By investing in
leading edge technologies, we consistently provide services that exceed the industry
standards.
EQUIPMENT LOANERS
Our loaner program works as follows: Service technician responds to the initial service call. If
the machine is not repairable or a part needs to be ordered, it will be ordered with next day
delivery. We will not deliver a loaner the next day when the ordered part also arrives the next
day. If the part does not resolve the issue, then the technician will give the repair options and
ETA to the customer and offer them a loaner machine to be delivered. If a customer requests
the loaner, it will be delivered the next business day.
AUTOMATED METER COLLECTION
The Fruth Group automated system that completes the auto toner shipmentswill also provide
each device meter reading. There will be no involvement required from City of La Quinta
employees to report monthly meter reads on the equipment connected to the network.
QUARTERLY BUSINESS REVIEWS (QBR) AND FLEET MANAGEMENT
Fruth Group believes that effective account management begins with a quarterly review. Your
account manager will use this opportunity to share and review all our quarterly reports on
equipment performance, our service performance and to solicit feedback from the City of La
Quinta. These review meetings help open the communication so both sides are aware of the
details and work together in a "partnership" to provide the best service level possible. In these
reviews, the account manager will also use this time to discuss departmental workflows, fleet
under -utilization or over -utilization, ideasto increase the life expectancy of the equipment and
introduce new technology when appropriate. Historically, our team has been able to
recommend further ways to reduce cost of copying and printing with Technology
Optimization strategies like:
➢ Reallocating assets to improve eff ciency.
➢ Removing underutilized assets
➢ Redirecting printing to more cost-effective devices
➢ Recommending equipment upgrades
In addition to technology optimization recommendations, we will identify assets which are
near or have reached the end of their life:
➢ High Operational costs
➢ Cannot meet printing or workflow requirements.
➢ Excess service support due to higher breakdown frequency

The Net Promoter Score (NPS) is a straightforward loyalty metric that holds companies and
employees accountable for how they treat customers. It is both a loyalty metric and a
discipline for using customer feedback to improve our business. Employees at all levels of the
organization understand it, opening doors to customer centric change.

MAINTENANCE DETAILS AND PRICING - Option Two & Three
The maintenance pricing included has been chosen to make this process as easy as possible
for the City of La Quinta. There were some answers in the addendum that were conflicting, so
Fruth Group has chosen to just offer the City a flat cost per page that will be billed in arrears.
The City will not need to guarantee or commit to any monthly volumes. This pricing was
created using some of this information that we received in Addendum 1.

B&W, and 11,000 Color pages from the majority of printers."
➢ Addendum 1, Number 20: "Wide Format printer services are not mandatory, but

STAFFING AND PROJECT ORGANIZATION
After thoroughly reviewing the RFP and Addendum 1, it is clear, that the main goal of this RFP
is for the City to f nd a vendor that they can trust and work with to determine the strengths
and weaknesses of the current equipment fleet, the costs, and the management of the fleet.
Fruth Group is uniquely positioned to be this partner for City of La Quinta. Due to the fact that
Fruth Group is Canon, HP and Brother authorized dealer, it allows us the most flexibility to
develop a solution that possibly uses new equipment and keeps some of your current
equipment in place. If new Canon equipment is installed, the learning curve for your staff will
be very minimal since the Canon user interface has not changed much compared to your
current fleet. Listed below are some of the approaches Fruth Group would use to help the City
of La Quinta with this project. Our staff team and bios are also included at your request.
A PROJECT MEETING will be scheduled immediately upon award to determine an overall
implementation plan and selection of the City of La Quinta project team members. As
evidenced below in this RFP, a Fruth Group team has initially been assembled to coordinate
the critical areas of the project. Additional personnel will be added within their respective
disciplines to carry out tasks as they are required. Implementation update requirements will
be established as well.
A SITE SURVEY is typically the next step in our process. As your new vendor, we will create a
needs assessment by location. We will assist the City of La Quinta project team in determining
the equipment and power specif cations necessary to meet the City's objectives.
Accomplishing the following implementation objectives will insure a successful and
seamless deployment:
• Identify key managers and site contacts.
• Identify location of equipment for installation
• Verify list of equipment to be removed.
• Create equipment removal schedule.
• Collect appropriate fax numbers/ IP address.
• Identify priority installations with the District.
• Verify electrical requirements and network drops.
• Identify room numbers/departments where needed.
• Identify installation challenges and delivery access.
• Identify supply delivery and location areas.
DELIVERY AND INSTALLATION
The implementation will begin on the date designated in the project meeting. Each unit will
be fully conf gured, tested, wrapped, and preinstalled by factory certif ed technicians with the
City's network information for a "plug -n -play" deployment. Allowing time for equipment
removal.
Delivery & Installation will be completed by our Fruth Group staff. All Fruth Group delivery

The network f eld supervisor is a lead engineer with expertise in network
connectivity of printers, MFPs, and wide format devices. Network Field Supervisor
supports installations and provides follow-up services to our customers in the f eld
or via our help desk. Matt has an in-depth knowledge of Canon software, hardware,
and solutions, and will be a primary resource in transitioning the new equipment

SUBCONTRACTING SERVICES
Fruth Group does not subcontract our service responsibilities out to third party companies. All
services are performed by our own factory trained staff.
The only time Fruth Group uses an outside company is to have old equipment picked up and
returned to a leasing company. Fruth Group partners with a company called "Offsite Off ce
Equipment Storage" out of Phoenix Arizona. Offsite makes delivery runs to the leasing
company equipment warehouses every week. Fruth Group will use this service just for the
transportation of the used copiers back to the leasing company.

2. Do you maintain your own Service and Repair Facility and staff?
Fruth Group maintains our own service and repair facility and staff. We do not outsource
any service work.
3. Provide the number of service technicians presently employed by your company and
the total number of copiers your off ce is maintaining. Are your service technicians
certif ed?
For Co LQ, our staff will operate out of our San Diego off ce. Fruth Group currently employs
20 certif ed technicians. Two of our certif ed technicians live in Hemet and Temecula. These
two technicians will be the primary technicians to service Co LQ. We have 6 more
technicians available to support Co LQ. Our current number of copiers serviced out of our
San Diego off ce is 1,759. Our company has 9,158 currently under maintenance contract
companywide.
Almost all vendors send their technicians to a brief 5 -day school to be "certif ed". This is a
basic break f x education course but does not prepare technicians for real world issues and
problem solving. Fruth Group has invested heavily in advanced education by sending our
technicians to Canon's comprehensive ATSP certif cation.
ATSP CERTIFIED TECHNICIANS
The Association of Technical Service Professionals (ATSP) prepares
service personnel to perform at a high level when interacting C MOM
with customers and when providing service and support on A 5 5 0 C I A T 1 0 N O F
Canon Business Imaging Systems Group products. Through
specif c certif cation exams and hands on challenges, ATSP
provides a method that quantif es not only what an individual
knows, but also, whether they can apply their knowledge in real �y'�A�sr- WCEpRo4E5Sjd�
world situations. By conf rming individual possesses the knowledge
required to service Canon products, and by conf rming they can successfully apply this
knowledge, ATSP helps prepare Canon service personnel to work effectively maintaining
satisf ed customers.
4. How long has your company served as an authorized dealer/partner for the brand of
equipment proposed?
Fruth Group has been an Authorized partnerwith Canon USAfor 22years.
Fruth Group is among Canon's Top 25 dealers in the United States and �02
has achieved 2023 Elite status.
S. How many employees are there in your local operation?
Fruth Group has 14 employees operating out of our San Diego location.
6. What is your response time to "down service calls?
Our guaranteed response time is 4 hours or less and we currently average 1.29 hours on
over 9,158 machines on contract for 2022 across all the Fruth Group locations. For our entire
San Diego operation, we had 3,869 calls with an average response time of 1.42 hours in 2022.
7. How are service call requests logged and on-site response time and time for repairs
tracked?
Response times are tracked in our eAutomate ERP system. The time the call is placed is
logged and dispatched to the technician electronically. The travel time to the customer is
tracked. The arrival time is logged. The completion of the service call time is logged. This
process is managed by our dispatchers and overseen by the Director of Service. Our
software allows them to see if the technician's call queue for CoLQ is heavy and move calls
to another technician. This is managed on a minute -by -minute basis each day.
8. Are Preventative Maintenance appointments pre -scheduled or scheduled by mutual
agreement between you and the CoLQ sites?
All preventative maintenance calls are usually identif ed by the software in the copier that
communicates with an app on the technician's phone. If the copier needs a full PM call,
they will usually schedule it with the CoLQ contact at the city location. There are some
occasions where the technician responds to a service call and will evaluate the machine and
identify it needs a PM completed. If they have all the parts with them in their car stock, they
will complete the PM while onsite.
9. Do you warehouse spare parts for the quoted copiers? Where?
Fruth Group maintains an extensive parts inventory in our San Diego warehouse. We also
have a warehouse currently in Temecula with parts inventory. In addition, each technician
carries over $5,000 in car stock inventory with them that is auto replenished each time they
use any parts.
10. How will you handle emergency delivery of supplies?
Fruth Group techs only use Original Equipment Manufacturer (OEM) parts and OEM toner
and will replace all defective parts and remove them on each call. Listed below is how our
Automated supplies occur:
EMERGENCY DELIVERY OF SUPPLIES
Fruth Group has found that the best practice for emergencysupply orders if the auto supply
fulf Ilment process has an issue is to keep some stock at the local CoLQ warehouse. This
does not need much shelf space and would allow us to store a couple of toners for each
model as an emergency backup system. If this space is not available, toner can be sent via
courier from our San Diego location, but at a shipping cost to CoLQ. We have managed this
type of strategy for Temecula Valley Unif ed School District for their 946 machines and have
not had any problems getting toner to the copiers on time.
AUTOMATED SUPPLY FULFILLMENT
For all the devices that are connected to the network, Fruth will have an automated system
that receives an alert from the device when it has 20% toner remaining. This alert is instantly
emailed to our supply fulf Ilment team and the toner is ordered and shipped. The "value
add" here is to have the toner show up at the correct location before anyone even knows
the toner is needed. In locations that have a high volume, we provide a back-up cartridge
to be stored by the device. In this scenario, the automated system simply replaces the
backup cartridge, and the department continues functioning without down time.
