ADDENDUM NUMBER 2
The following shall be considered as incorporated into the Request for Proposal (RFP) for the above-
referenced services. Portions of RFP not specifically mentioned in this Addendum remain in force.
REQUEST FOR PROPOSAL
Question: Are contracts standard by type or do they require extensive editing and customization?
Answer: Contracts are standard, please include any redlines you may have with your
proposal.
Question: Can you clarify what is meant by having the “ability to have different file system
templates”? Is this for files or actual templates in the system for different kinds of work?
Answer: Templates within the system and for them to be customizable.
Question: For controlling user access, is there a clear idea of what types of rolls should have
access to what items in the solution?
Answer: The three different types would be Read Only, Upload Download Access, and Edit
Access.
Question: As far as importing existing data, is this primarily scheduling data or are there other
types of data that need to be imported?
Answer: PDF typically. Suggest Proposals add a section on types of files that can be
uploaded to the system.
Question: Are the 10 GBs of documents described part of the data migration, or are these separate
documents that need to be attached within the new solution?
Answer: Part of initial migration for specific project.
Question: In what way will external users be expected to interact with the platform? Will they be
making edits or just viewing the data? If they will be making edits, what data specifically
will need to be editable? With what frequency would these updates be expected to be
made?
Answer: Varies and depends on platform. For those platforms that allow data to be entered
in, e.g. budget or schedule, those would be edited every month.
Question: Is there any consistency to how different departments handle their project management?
Or do they all have unique approaches and needs? If they are significantly different,
please describe the different tools used by each department (or what tools may be
helpful under the new system)?
Answer: This is currently for the public works group. Other groups if interested would be
interested in progress management of file, i.e. first goes to X then Y then Z.
Question: Should the agreement for contract services be included before attachment 2?
Answer: The agreement is included as Attachment 1.
Question: We see that you state in Addendum #1 that the City has 20 users. In order to more
accurately quote the training, consulting and license needs, please provide a high-level
breakout of the users’ roles. For example, how many users work in each of the following
areas:
Answer: a. How many work with cost management? 5
b. How many work in field management? 4
c. How many are officials and require read-only and/or ability to approve business
processes? 3
d. Approximately how many 3rd parties (architects, contractors, consultants)? 10
Question: Please provide a list of any Project Management Software vendors the City has
reviewed within the last 12 months?
Answer: Choose not to include.
Question: Does the City have a preference on how to deploy the selected Project Management
Software?
a. Self-Hosted (On-premise) – City Hosts
b. SaaS (Software as a Service) – Vendor Hosts
Answer: No preference
Question: Have you seen or demoed by any software?
Answer: Yes
The Consultant is hereby notified; Addendum No. 2 must be acknowledged as required under
Section 6, Addenda and submitted as part of the RFP. Failure to acknowledge and incorporate
addenda will not relieve the proposer from the responsibility to meet all terms and conditions of
the RFP and any subsequent addenda.
