Contract Management In ProjectTeam.com, there are two main areas to track information about vendor companies and contacts — the Business Directory and Project Directories. At the beginning of a project, administrators can set up Account Codes. Each Account Code can have an unlimited number of segments to match your existing financial structure. Once the Account Codes are added, either manually or via import, users can start to associate money to each Account Code using the Budget Item form. Budget Items can be added and eventually approved which locks each record. Once a Budget Item is locked, the only way to update values on the record is through a related form called a Budget Amendment. In that case, the original budget information and all amendments are tracked in a table view to help keep a history or all budgetary transactions for each project. All data, including budget, cost, and payment data, can be included in your reports and dashboards. Budget reports can show information related to expenditures, progress payments, invoice tracking, funding sources, and more. Users can set up reports to show any columns and include custom formulas to perform real-time calculations on the data. Each report can also include groups, sorts, filters, and more to display critical information in the way you require it (Shown in figure 4 on the following page). One of the best features within the reporting area to help distribute reports on a weekly, monthly, yearly basis is our "Scheduled Reporting" feature. All data related to schedules, budgets, resources, and other areas is available in the reporting area. Task Tracking Action Items are a primary tool for tracking tasks in ProjectTeam.com. Action Items can be created from any screen and show up as a panel on forms. For example, a Punch List Item can also include an Action Item. Action Items drive automatic email notifications to the users assigned. Once completed, email notifications are sent back to the user that created the Action Item letting them know that it is completed. We have included estimated pricing for integrations. These integrations are made possible by using the PT Databridge. The cost components of completing the integrations are a.) PT Databridge Platform b.) End-point Connectors, c.) Integration Platform Services (Discovery, Installation, Configuration, and Training) d.) on-going maintenance and adjustments as necessary. Without knowing the precise details of the integration requirements, we can only provide pricing for the cost components a.), b.), and the Discovery portion of c.) listed above. The remaining cost components will have to be priced once the discovery has been completed and the full requirements of the integrations are known. The PT Databridge platform costs $19,500/year. Each end-point connector is $8,500/year. The discovery portion of the integration platform implementation process is $2,500 per integration. If required, data migration from legacy systems can typically be accomplished using the PT Databridge. Services for the data migration are not included in this proposal (requirements not specified). It is likely that once the integration to other systems is completed, the existing project data in those systems will automatically flow over to ProjectTeam.com. Those details will be covered during the discovery portion of the integration planning meetings. Our proposal is based on the following Additional Information and Clarifications. ADDITIONAL INFORMATION and CLARIFICATIONS 1. ProjectTeam.com, our proposed solution, is a 100% cloud -based Software -as -a -Service (SaaS) solution. As such, there is no software to install or physical computer hardware to manage. The system can be accessed from any modern web browser including Apple Safari, Microsoft Edge, Google Chrome, Mozilla Firefox, etc. Users can simply and conveniently log into ProjectTeam.com from any computer, tablet, or smartphone. 2. As requested in the Request for Proposal document, our bid includes Unlimited Professional Services, Administrative Training, and End -User Training for a period of two (2) months. This comprehensive package of services includes implementation planning and discovery, implementation management, implementation execution, and roll-out and training to your end users over a two-month period. Services also include unlimited custom configurations, report writing and merge template creation. Our base pricing does not include additional services such as integration consulting, our Databridge platform, or integration configurations to accommodate integrations to existing City systems. Our price for subscriptions does include new feature releases, enhancements, bug fixes, help desk support and the platform infrastructure necessary to keep the system running smoothly and securely. 4. Our total bid is for up to 15 active Subscribers (internal users) and up to 60 active Contributors (external users). If the City chooses to add new subscriptions, the subscription term will be pro- rated to match the expiration of the existing contract. Contributors have some feature restrictions; however, these restrictions will not limit external users from effectively collaborating on City projects.
